Cancellations, changes to bookings and failure to attend appointments
We are committed to providing a high quality service and your therapist dedicates a significant amount of time preparing for your appointment. In addition, there may be times when children are placed on a waiting list for our service.
In order to provide the most efficient service we request that clients provide us with sufficient notice when cancelling an appointment. We request a minimum of 2 business days notice for appointment cancellations.
We understand that children become unwell and/or situations arise that are beyond your control. Please phone our administration team with as much notice as possible. We will always attempt to reschedule an appointment where appropriate.
The following policies apply for appointment cancellations, late arrivals and failure to attend.
Late Cancellation (Less than 2 business days notice) or Failure to attend
Clients that do not provide 2 business days notice to cancel or reschedule their appointment will incur the following fees:
100% of the scheduled appointment fee.
If a client fails to attend a scheduled appointment and no notice is received the full appointment fee is payable. If you fail to attend two or more appointments with no notice, we reserve the right to discharge you and/or any child under your care from our service without notice.
Frequent Cancellations
Frequent cancellations If your child has frequent cancellations i.e. 25% of scheduled appointments (with or without notice) KDSP reserves the right to cancel all future appointments and offer your child's spot to another client.
Late arrival to an appointment
To ensure an efficient service we ask that you arrive promptly for your scheduled appointment. We recommend arriving 5 minutes prior to your appointment time. Late arrivals will still incur the full fee for the scheduled appointment.
Unfortunately, since your therapist will have other appointments scheduled before and after, the session cannot be extended if you are late.
If KDSP needs to cancel the appointment
If we need to cancel an appointment for any reason with short notice, we may do so at any time before the appointment is scheduled to begin. We do not expect this to happen except in exceptional circumstances, and we’ll offer you a choice of alternative dates for the appointment, but we won’t be liable to compensate you for any other expenses you’ve incurred in connection with the cancelled appointment. We will try to notify you of cancellations but we can’t guarantee this, especially when an appointment is cancelled at short notice (e.g. if your treating speech pathologist is ill and/or an emergency arises).
